Sales Export Admin

    Job description

    Location: The Manor Officetel, 89 Nguyen Huu Canh, street Thanh My Tay Ward (Former Binh Thanh District), Ho Chi Minh City

    Department: Sales

    Reports to: Marketing Manager / Sales Manager

    1. Job Objective

    Support all administrative and commercial activities of the Sales & Marketing Department, ensuring sales processes, data management, documentation, quality control, and cross-department coordination are executed accurately, completely, and on time.

    2. Job Responsibilities

    1. Lead Management & Customer Support

    • Receive and classify leads from Marketing (international & domestic).

    • Proactively contact, consult, and assess customer needs.

    • Assist in preparing quotations, contracts, and offer packages.

    • Update CRM/Lark/MISA and track sales pipeline and order progress.

    2. Sales Support

    • Coordinate with local sales teams to handle customer requests and finalize orders.

    • Process confirmed orders from local sales (pricing – quantity – schedule – documentation).

    • Manage order fulfilment & logistics:

    o Track production – QC – packing – delivery schedule

    o Check documents, COA, packing list, booking status

    • Perform sales data analysis & revenue reporting; monitor order KPIs by market.

    • Conduct price scouting, update market prices, raw material prices, and competitor pricing as assigned.

    3. Sales Administration – Factory Audit & Certifications

    • Participate in factory evaluations: assessing production capacity, quality systems, and processes.

    • Assess certification compliance: FSC, ISO, Social Audit (BSCI/SMETA), and technical certificates required by clients.

    • Work with third-party agencies (inspection – audit – certification bodies).

    • Prepare quality files, commitment letters, and technical specifications for customers.

    • Support factory audits such as RESA, QSA, or customer-specific audits.

    4. Support for International Sales & Sales Manager

    • Upload documents to customer platforms such as MSI or similar systems.

    • Prepare PI, PO, COA, catalogues, product images, and samples.

    • Assist foreign partners with visa, travel schedules, and work arrangements when visiting Vietnam.

    • Perform additional tasks assigned by the Sales Manager.

    5. ISO Committee & Process Compliance

    • Manage and update ISO checklists, forms, and Sales-related documentation.

    • Monitor compliance with sales – QC – production – documentation procedures.

    • Support internal ISO assessments and re-certification activities.

    3. Job Requirements

    Education / Knowledge

    • Bachelor’s degree in International Business, Foreign Trade, Export–Import, or related fields preferred.

    • Knowledge of wood products and the wood industry (EU/US markets) is a strong advantage.

    • Solid understanding of Incoterms, export documents, and logistics procedures.

    Skills

    • Good communication skills in English (mandatory). Korean is a plus.

    • Proficient in Microsoft Office; able to use CRM/ERP systems (Misa, Odoo, Lark…).

    • Good negotiation, persuasion, and customer-care skills.

    • Detail-oriented, organized, and strong in progress tracking.

    • Experience with ISO, FSC, and Social Audits (BSCI/SMETA) is a strong plus.
